Dental lab inventory software: lots, costs and due dates
Most dental lab inventory software is sold on counting. Stock levels, low-stock alerts, materials deducted from a case as they get used. Every serious system in the category does that, it is worth having, and it is not the part that changes anything.
Three things actually change how a lab runs. Whether you can trace a lot back to the cases it went into. Whether your material costs are real numbers instead of estimates. And whether the dental lab inventory management software sits next to the case rather than in a separate app nobody opens.

What dental lab inventory software should actually do
Start with the question you want answered on a bad day. A manufacturer issues a notice on a batch of zirconia. Which cases used it, and which dentists do you need to call?
If the answer takes an afternoon of paper, the inventory system is a counting tool. If it takes a few minutes, it is doing the job. Dental restorations are regulated as medical devices, and the FDA’s device registration and listing rules are the reason traceability is more than good practice. Everything else inventory software does is convenience next to that.
The second question is quieter and costs more money over a year. What did this case actually consume, and what did it earn?
The material you already own
Here is a pattern we see in labs constantly, and it has nothing to do with anyone being careless.
Someone notices stock is getting low on something. To check properly they would have to walk to the shelf, count what is behind the boxes in front, and trust that the number in the system has not drifted since the last time somebody updated it. That is ten minutes. Placing the order takes thirty seconds. So the order gets placed, because ordering is cheap and being short mid-case is expensive.
Then the delivery arrives and there were already three of them on the shelf.
Nobody in that story did anything wrong. The system made verifying more expensive than duplicating, and people rationally chose the cheaper action. That is the real cost of inventory living in a spreadsheet or in the count somebody did last month. Not the spreadsheet. The ordering decisions made around it.
What fixes it is not a stricter process. It is a count trustworthy enough to check in five seconds, which means a count that updates itself as material moves.
Lot tracking, and the question you want to answer in minutes
Lot traceability is where most labs are thinner than they think. The manufacturer’s lot numbers are printed on the boxes. Frequently that is the only place they exist.
Traceability means three links holding at once: the lot that arrived, the case it went into, and the dentist that case went to. Break any one of them and a recall becomes a guess. Keep all three and it becomes a filtered list and a set of phone calls you can make the same day.
It is worth separating two different numbers here. The manufacturer’s lot is the one a recall notice names, so it has to be recorded exactly as printed and never overwritten. A lab’s own internal code for a container is a different thing, useful for scanning at the bench and for labelling a bottle with no readable code left on it. A system should hold both without confusing them.
None of this is complicated. It just requires the lot to get recorded on the day it arrives, which brings us to the part that decides whether any of it happens.
Receiving stock without typing it in
Logging is where inventory systems die.
We have watched receiving work the traditional way. A delivery lands at the front desk. Somebody opens the box, finds the packing slip, and types each line into the system: product, quantity, lot number, expiry date. Six lines takes fifteen or twenty minutes, on a desk that also has dentists calling and cases to book in. It is nobody’s favourite task and it is genuinely slow.
So it slides. It gets done at the end of the day, or the end of the week, or the lot numbers get skipped because the count is what matters today and the lot number is for a problem that has not happened yet. Within a couple of months the count has drifted and the traceability has holes.
The version that works is a photograph. Someone takes a picture of the supplier invoice on their phone, AI reads the lines off it, and a person reviews what came back and confirms it. Products, quantities, lot numbers and expiry dates, matched against the materials you already stock. Review beats typing, and the difference is not small. It turns a twenty-minute job into a one-minute one.
That matters for a reason beyond the time saved. When logging costs a photograph, it happens on the day the delivery arrives, every time. The count stays true and the lots are there when you need them. Effortless capture is not a nicety here. It is the precondition for everything else in this article being accurate.
What dental lab inventory software does to your costs and margins
Once materials attach to cases as they get used, a number that was previously an estimate becomes a fact.
Most labs price from experience. They know roughly what a zirconia crown costs them in material, roughly what an implant case runs, and they price with enough margin that roughly is usually fine. It works until the mix shifts, or a supplier raises prices, or a particular dentist’s cases turn out to consume more than average and nobody notices, because the number was never separated out.
With material tracked to the case, reporting can show cost and margin per case, per restoration type and per dentist, and every figure traces back to specific lots consumed on specific days. That last part is what makes it usable. A margin number you cannot audit is a number you will not act on, and rightly so.
This is also where the ordering problem from earlier closes. When usage is recorded as a byproduct of production, you can see what you actually consume in a month, which turns reordering from a guess into a decision.
Due dates and materials in the same place
The other half of the problem is that inventory usually sits somewhere else.
A technician loading a case needs two things at once: what is due, and what it takes to do it. In most labs those live apart. The schedule sits in the management system; the materials are in a stockroom, in a spreadsheet, or discovered when someone opens a drawer and finds it empty.
Putting them together is less a feature than a layout decision. When the case opens, the departments it still has to pass through and their due dates are on it, and so is what the case needs and whether it is in stock. Nobody has to go looking, and nobody discovers a shortage at the point where it costs a day. Case tracking and materials answering to the same case is what makes a schedule real rather than aspirational.
What to check before you buy dental lab inventory software
- How does stock get received? If the answer involves typing a packing slip, price in the time and expect the count to drift.
- Are manufacturer lot numbers stored exactly as printed, and can you list every case that used a given lot?
- Does material usage flow into cost and margin reporting, or does inventory sit in its own silo?
- Can a technician see what a case needs and whether it is in stock without leaving the case?
- Does it handle the materials that do not come in neat units: a disc that yields several units, a bottle used across dozens of cases?
